Use the GrandPals section to add prospective GrandPals, manage their records, review onboarding progress, and confirm screening results.

Before You Add a GrandPal

Add someone to the platform after they have:
  • Agreed to proceed with GrandPals
  • Confirmed their preferred first and last name
  • Confirmed the email address that should receive program communications
  • Understood that they will immediately receive an invitation to begin onboarding
Adding a new GrandPal immediately sends an invitation email. Confirm the person’s interest and carefully check their email address before creating the record.

Add a New GrandPal

  1. Navigate to GrandPals in the left-hand navigation
  2. Click New GrandPal in the top right
  3. Enter the GrandPal’s:
    • First name
    • Last name
    • Email address
  4. Optionally:
    • Add a phone number
    • Select an orientation
    • Select a location
  5. Click Add New GrandPal
The GrandPal is immediately sent an invitation email to the GrandPals Platform, where they can begin completing their onboarding steps.

What Happens Next

After the GrandPal record is created:
  • The invitation email is sent automatically
  • The GrandPal can begin their required onboarding steps
  • The sent invitation can be reviewed under Outbound Emails
  • The GrandPal can be added to an orientation, when appropriate
  • Their onboarding progress can be reviewed before placement
Adding someone to the platform does not mean they are ready to participate in a classroom program. Complete all required onboarding, screening, orientation, and safeguarding steps before placement. Review the Volunteer Onboarding settings

Special Email and Account Situations

A GrandPal who does not use email can use the email address of a:
  • Family member
  • Loved one
  • Caregiver
  • Other trusted person who can receive communications on their behalf
The supporting person may help the GrandPal with:
  • Onboarding steps
  • Orientation information
  • Session reminders
  • Follow-up messages
  • Feedback requests
The GrandPal can still participate fully in orientation and classroom sessions. Before using another person’s email address, confirm that both the GrandPal and the supporting person agree.
Multiple GrandPals can share one email address through a Multi-user Account. This may be helpful when:
  • A couple shares one email account
  • Several GrandPals are supported by the same family member or caregiver
  • A community setting has one person helping participants manage communications
To create a multi-user account:
  1. Add the first GrandPal using the shared email address
  2. Add another GrandPal using the same email address
  3. When the platform explains that the email is already in use, choose the option to continue with a multi-user account
  4. Complete the new GrandPal record
Each GrandPal will continue to have their own:
  • Individual profile
  • Onboarding information
  • Orientation participation
  • Classroom placements
  • Session history
Sharing an email address does not merge GrandPal records. Each GrandPal remains a separate participant in the platform.

Sharing an Email With a Family Member or Caregiver

Explain that the supporting person may receive:
  • Onboarding instructions
  • Orientation information
  • Session reminders
  • Feedback prompts
  • Other program communications
The supporting person does not need to attend sessions unless this has been arranged. The GrandPal remains the primary program participant.
A GrandPal’s email address cannot be edited after the record has been created. The email address is used to connect the GrandPal with:
  • Onboarding
  • Orientation information
  • Session reminders
  • Notifications
  • Feedback requests
  • Historical records
If an incorrect email address was entered, archive the incorrect record and create a new one using the correct address.

Step 1: Archive the Incorrect Record

Archive a GrandPal record
  1. Open the GrandPal record containing the incorrect email address
  2. Click Settings
  3. Select Archive Volunteer
  4. When prompted, type archive volunteer
  5. Confirm the action
This archives the incorrect record while preserving its historical information.

Step 2: Create a New Record

  1. Navigate to GrandPals in the left-hand navigation
  2. Click New GrandPal
  3. Re-enter the GrandPal’s information using the correct email address
  4. Click Add New GrandPal
A new invitation email will be sent to the correct address.
Archive the incorrect record, not the new active record created with the correct email address.

Understand the Onboarding Indicators

The indicators at the top of the GrandPal record show progress through four onboarding stages:
The first onboarding step asks the GrandPal to watch a short video and complete their personal profile. The GrandPal provides or confirms:
  • Preferred first and last name
  • Email address
  • Cell phone number
  • Date of birth
  • Legal first and last name
  • Home address
Snag 19c1895f
Snag 19c1cdea
Snag 19c21dc0
The legal name should match the GrandPal’s government-issued documents because it may be used during the record-check process. When the required information has been submitted, the Complete Profile indicator is marked complete. To review or update the information:
  1. Open the GrandPal’s record
  2. Select Overview
  3. Review the profile information
  4. Click Edit when information needs to be corrected
  5. Update the relevant fields
  6. Save the changes
Snag 19c6136c
The coordinator can update the GrandPal’s:
  • Preferred name
  • Legal name
  • Date of birth
  • Address
  • Phone number
  • Biography
  • Other profile information
Snag 19c6f36b
The GrandPal normally completes this information through their own onboarding account. The coordinator can correct or update it when needed.
The onboarding interview helps confirm that the program and time commitment are a suitable fit and gathers information for the GrandPal’s biography. The interview may be completed through an automated onboarding call or a coordinator-led manual interview.

Automated Onboarding Call

When the automated onboarding call is enabled:
  1. The GrandPal selects Please call me
  2. The platform conducts and records the call
  3. A transcript is created under the Interview tab
  4. A short biography is generated and added under Overview
  5. The Onboarding Call indicator is marked complete
To review the interview:
  1. Open the GrandPal’s record
  2. Select Interview
  3. Review the transcript
  4. Listen to the recording when needed
  5. Return to Overview to review the generated biography
Snag 19c9b6f0
The Interview tab is review only. The recording and transcript cannot be edited, approved, or rejected from this page.

Manual Onboarding Interview

An organization can conduct the onboarding interview manually instead of using the automated call.First, turn off the automated onboarding phone call under the organization’s Volunteer Onboarding settings.Review the Volunteer Onboarding settingsAfter conducting the interview:
  1. Open the GrandPal’s record
  2. Select Overview
  3. Click Edit
  4. Add the biography developed from the conversation
  5. Save the changes
  6. Add relevant internal follow-up information under Notes, when needed
After the biography is saved:
  • The Onboarding Call indicator is marked complete
  • The GrandPal advances to the VSC Application stage
A manually completed interview does not create an audio recording or transcript in the Interview tab.
Snag 19cc8d13
After the profile and onboarding interview are complete, the GrandPal advances to the VSC Application stage. The GrandPal is guided through the following steps:
  1. Watch a short video explaining the Vulnerable Sector Check process
  2. Download and save the personalized organization letter
  3. Select Apply with your local police service
  4. Use the application information provided by the platform:
    • Title of Employment/Volunteer Position: GrandPal Student Mentor
    • Organization: GrandPals
    • Responsibilities toward children or vulnerable persons: Mentoring students
  5. Complete the application through their local police service
  6. Return to the GrandPals Platform
  7. Select I have submitted my application
After the GrandPal selects I have submitted my application:
  • The VSC Application indicator is marked complete
Snag 19cd9e06
  • Their onboarding advances to Vulnerable Sector Check
Snag 19cf236d
  • They can upload the completed check once it is returned by the police service
Snag 19d028c8
The coordinator can download the same personalized organization letter from the GrandPal’s Record Check tab when the GrandPal needs assistance.
The GrandPal should save the organization letter in case it is requested during the application process.
A coordinator can upload a completed Vulnerable Sector Check on behalf of a GrandPal.This may be helpful when:
  • The organization already has the completed document on file
  • The GrandPal has emailed or otherwise provided the document to the coordinator
  • The GrandPal needs assistance uploading it

Upload the document

  1. Open GrandPals from the main navigation.
    Snag 1f874ea3
  2. Select the GrandPal’s name from the volunteer list.
  3. Open the Record Check tab.
  4. Click Choose File.
    Snag 1f85be9d
  5. Select the completed Vulnerable Sector Check from your device.
  6. Upload the document to the GrandPal’s record.
Once the document has been uploaded, continue with the normal record-check review process.
Before uploading, confirm that the document belongs to the correct GrandPal and that the full document is clear and readable.
Uploading the document does not approve the Vulnerable Sector Check. A coordinator must still review the document and record the approval decision.
Follow your organization’s privacy and records-management practices for any copies received by email or stored outside the platform.

GrandPal Upload Process

After the police service returns the completed Vulnerable Sector Check, the GrandPal:
  1. Opens the Vulnerable Sector Check stage
  2. Watches the short upload video
  3. Selects Choose File
  4. Chooses the completed Vulnerable Sector Check
  5. Reviews the uploaded document preview
  6. Selects Next
Upload the completed Vulnerable Sector Check received from the police service, not the application confirmation, receipt, organization letter, or another supporting document.
A coordinator can also upload the completed document on the GrandPal’s behalf from the Record Check tab.

What Happens After the Document Is Uploaded

After the GrandPal uploads the completed Vulnerable Sector Check and selects Next:
  • The document becomes available for coordinator review under Record Check
  • The GrandPal advances to the Sign Up for Orientation page
  • The GrandPal can register for an available orientation while the document is awaiting review
The Sign Up for Orientation option is available only when the organization has a scheduled and published orientation with available capacity.
Snag 19d17ed2
Registering for orientation does not mean that the Vulnerable Sector Check has been approved. The coordinator must still review the uploaded document and select Approve or Reject.

Review the Uploaded Document

Open the Record Check tab to manage the GrandPal’s Vulnerable Sector Check. Before a completed check has been uploaded, the coordinator can:
  1. Select Download Organization Letter to download the personalized supporting letter
  2. Provide the letter to the GrandPal when needed
  3. Select Choose File to upload the completed check on the GrandPal’s behalf
After a document has been uploaded, the Record Check tab displays:
  • The uploaded document
  • The filename
  • The upload date
  • The Date of Search
  • The current review status
  • A preview of the document
Uploading a document does not mean that the Vulnerable Sector Check has been approved. A coordinator must review the uploaded file and complete the approval or rejection action.

Approve an Uploaded Vulnerable Sector Check

Snag 19d65411
After reviewing an acceptable completed Vulnerable Sector Check:
  1. Open the GrandPal’s Record Check tab
  2. Review the uploaded document

Reject an Uploaded Vulnerable Sector Check

Reject the document when the uploaded file is not an acceptable completed Vulnerable Sector Check.
  1. Open the GrandPal’s Record Check tab
  2. Review the uploaded document
  3. Click Reject
  4. Click Reject again to confirm
  5. Contact the GrandPal directly to explain why the document could not be accepted
After rejection:
  • The document remains visible with a Rejected status
  • The GrandPal’s Screening Status changes to Rejected on the main GrandPals page
  • The platform does not automatically notify the GrandPal
  • A replacement document cannot currently be uploaded through the regular workflow
Contact the GrandPal directly after rejecting a document. To arrange for a corrected or replacement Vulnerable Sector Check to be uploaded, contact [email protected].
The main GrandPals page displays each GrandPal’s Screening Status. The status changes to Complete once the completed Vulnerable Sector Check has been submitted to the platform.
A Complete Screening Status does not mean that the Vulnerable Sector Check has been approved.
To confirm the result:
  1. Open the GrandPal’s record
  2. Select Record Check
  3. Review the uploaded document
  4. Confirm that its status is Approved
A GrandPal should not be considered fully cleared for classroom placement based only on the Complete status shown on the main GrandPals page.

Manage a GrandPal’s Status

Snag 19d89edb
Open the GrandPal’s Settings tab when you need to place them on hold, archive their record, or end their participation.
Use Volunteer On-hold when the GrandPal is taking a temporary break or plans to participate in a later season.
  1. Open the GrandPal’s record
  2. Select Settings
  3. Click Volunteer On-hold
  4. Enter the On-hold until date
  5. Type on-hold to confirm
  6. Click Place volunteer on-hold
While the GrandPal is on hold:
  • They remain part of the program
  • Their record is preserved
  • They do not receive automated platform communications
On the selected On-hold until date, the platform automatically returns the GrandPal to Active status. The coordinator does not need to reactivate them manually.
Use Archive Volunteer only when the GrandPal is no longer going to participate in the program.Do not archive someone who is:
  • Taking a break for a season
  • Temporarily unavailable
  • Delaying onboarding
  • Planning to return later
Use Volunteer On-hold in those situations. To archive the record:
  1. Open the GrandPal’s record
  2. Select Settings
  3. Click Archive Volunteer
  4. Type archive volunteer to confirm
  5. Click Archive volunteer
Archiving the GrandPal:
  • Removes them from the default active list
  • Preserves their existing record and history
  • Allows the archived record to be found using the filters on the main GrandPals page
Do not archive a GrandPal who is only taking a temporary break. Place them On Hold instead.
Archived records are not normally expected to be restored. If a record was archived by mistake, contact [email protected].
Use Reject Volunteer only when the individual will not continue with the GrandPals program because the program is not considered a suitable fit.Rejecting a GrandPal:
  • Ends their participation
  • Blocks their access to the platform
  • Records an internal reason for the decision
  • Can automatically send a fixed standard rejection email
Before rejecting someone who has already participated in orientation or other activities, consider having a respectful conversation with them and consulting with others on the coordinating team.
  1. Open the GrandPal’s record
  2. Select Settings
  3. Click Reject Volunteer
  4. Enter the Reason for Rejection
  5. Choose whether to send the standard rejection message
  6. Review the email preview when applicable
  7. Type reject volunteer to confirm
  8. Click Reject volunteer
Snag 19da2a6d
The internal reason is not included in the rejection email. The standard email can be reviewed but cannot be edited.
Rejecting a GrandPal ends their participation. This is different from rejecting an uploaded Vulnerable Sector Check, which rejects only the document.

Confirm Onboarding and Screening

Before treating a GrandPal as fully cleared for classroom placement, confirm that:
  • The required profile information has been completed
  • The onboarding interview has been completed
  • A biography appears under Overview
  • The VSC Application stage is complete
  • The completed Vulnerable Sector Check has been uploaded
  • The uploaded document has been reviewed
  • The Record Check status is Approved
  • Any additional local safeguarding requirements have been completed
A GrandPal may begin orientation while their Vulnerable Sector Check is awaiting review, but they should not be placed in a classroom program until all required safeguarding and screening steps are complete.
